Position Overview:

We are seeking an organized, proactive, and detail-oriented Office Staff member to join our team at Bright Horizons Solutions. This role is ideal for individuals who are enthusiastic about working in a dynamic office environment and have a keen eye for detail. As part of our team, you will be responsible for supporting the office's daily operations, assisting management with administrative tasks, and ensuring smooth office functioning.

Key Responsibilities:

Administrative Support: Provide general administrative support to office staff, including data entry, file management, and document preparation.

Phone and Email Communication: Answer, direct, and manage phone calls and emails. Respond to customer inquiries in a timely and professional manner.

Office Management: Handle office supplies and inventory, ensuring all items are adequately stocked and ordered when necessary.

Visitor and Client Coordination: Greet visitors and clients, ensuring they are promptly assisted and directed to the appropriate department or personnel.

Calendar and Schedule Management: Assist in managing the calendars of senior staff, scheduling meetings, appointments, and travel arrangements.

Documentation and Filing: Organize, file, and maintain both physical and electronic documents, ensuring that records are easily accessible and up-to-date.

Event and Meeting Coordination: Help organize internal office events, meetings, and workshops as necessary.

Mail Handling: Sort and distribute incoming mail and packages. Prepare outgoing correspondence.

Data Entry and Reporting: Assist in preparing reports and entering data into company systems, ensuring accuracy and timely submission.

Office Cleanliness and Maintenance: Ensure that the office is clean, organized, and properly maintained, including coordinating minor repairs and office cleaning.

Qualifications:

Education: High school diploma or equivalent required. An associate’s degree or higher in business administration or a related field is preferred.

Experience: Previous experience in an office environment is highly desirable. Entry-level candidates are welcome to apply.

Skills:

Strong communication skills (both verbal and written).

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Ability to multi-task and handle a variety of tasks simultaneously.

High attention to detail and organizational skills.

Ability to maintain a positive and professional attitude in a fast-paced environment.

Excellent time-management skills with the ability to prioritize tasks effectively.

Preferred Skills:

Experience with office management software or tools.

Basic knowledge of bookkeeping and accounting.

Experience in customer service or client-facing roles.
